Corporate Event Security in Ontario: Planning Guard Coverage

Corporate event security means licensed guards who manage entry, guests, VIP areas, parking and emergencies at a company function. Plan coverage from your attendance estimate, venue, alcohol service and event hours. In Ontario, also check whether the venue needs an AGCO Special Occasion Permit, and remember that a company party is still part of the workplace.

Key facts

  • Accure Security provides guards and supervisors for corporate gatherings, private functions, trade fairs, media launches and other events across Ontario.
  • Its event coverage can include crowd management, VIP and backstage security, parking and traffic support, perimeter coverage, event stewards, emergency communication and organizer communication.
  • An AGCO Special Occasion Permit is required when liquor is sold or served outside a licensed establishment or a private place, such as a corporate boardroom or residence.
  • For an indoor private event, the AGCO guide says to apply for the permit at least 10 days before the event.
  • Under Ontario’s Private Security and Investigative Services Act, acting as a bouncer is one example of security guard work, and a guard must carry their licence and produce it on request.

What do guards do at a corporate event?

Guards support the event plan at the points where people, property and movement need supervision. Their duties should match the venue layout, guest profile, schedule and known concerns.

Accure Security’s event coverage includes:

  • Managing crowds and entry points
  • Protecting VIP and backstage areas
  • Supporting parking and traffic flow
  • Monitoring the perimeter
  • Providing event stewards
  • Communicating with organizers during emergencies and other event issues

For the full service scope, review Accure Security’s corporate and event security services. If parking is part of the plan, identify vehicle entrances, pedestrian routes, loading areas and any traffic-support duties before coverage is assigned.

When does a corporate event need an AGCO Special Occasion Permit?

You need an AGCO Special Occasion Permit when liquor is sold or served anywhere other than a licensed establishment or a private place, such as a corporate boardroom or residence. The permit holder must provide sufficient security and remain present throughout the event.

The AGCO Special Occasion Permit guide also states that a private event is for invited guests and is not publicly advertised. The guide says to apply at least 10 days before an indoor private event and 30 days before other indoor events.

If the party is at a restaurant, hotel or hall with its own liquor licence, no permit is needed; the venue’s licence covers the bar, so ask the venue what its own staff handle and where your guards fit. If you need a permit, the Registrar can attach conditions, so confirm the event type, alcohol service and who the permit holder is before you finalize security.

How many guards does a corporate event need?

Ontario does not publish one universal guard-to-guest ratio for every corporate event. Size coverage from the event’s risks, layout and operating plan instead of applying a fixed number.

The AGCO’s Planning special events tip sheet identifies factors that can affect security needs:

  • The nature of the event
  • The ages of attendees
  • The location, date and hours
  • Expected attendance and the size of the drinking area
  • The types of drinks and any limits
  • Entry and exit arrangements

Your operations plan should record the security schedule, duties, posts and communication method. It should also state what behaviour is not tolerated and how people will be escorted out. Plan adequate coverage for the end of the event, when guests leave and the venue is being cleared.

What should holiday-party security cover?

Holiday-party planning should cover the guest journey from arrival through departure. Include the guest list, entry process, coat and gift areas, end-of-night exits and parking in the event brief.

Plan the main control points

  1. Confirm who is invited and how guests will be recognized at entry.
  2. Set out how entry points, guest movement and VIP areas will be managed.
  3. Assign a clear process for coats, gifts and other items held during the event.
  4. Review exits, parking, rides home and vehicle-pedestrian movement before the final hour.
  5. Give organizers and the security team a communication method for emergencies and event changes.

Company parties are also part of the workplace context. The Ontario Human Rights Commission identifies business trips, company parties and other company-related functions as part of the “extended workplace” when discussing the right to be free from workplace harassment. Read the Ontario Human Rights Commission guidance on the extended workplace and include conduct expectations in the event plan. Give guards a named organizer to call about a guest’s conduct: guards observe, report and escalate, and the employer makes the workplace decisions.

What should you send for a corporate event security quote?

Send the core event details first so the coverage discussion can address staffing, duties, risk and location. Accure Security asks for specific information about the event and its operating conditions.

Prepare these details

  1. Event date
  2. Venue
  3. Estimated attendance
  4. Event hours
  5. Whether alcohol will be served
  6. VIP areas
  7. Entry points
  8. Parking needs
  9. Known risk concerns

Also explain the venue layout, planned exits, drinking area, guest arrival process and any organizer communication needs. Short-notice coverage depends on staffing availability, risk level and location, so send the details as early as you can.

Frequently asked questions

What is corporate event security?

Corporate event security is planned protection for a company function. Licensed guards can manage entry, guests, VIP areas, parking, perimeter coverage and emergency communication. The plan should reflect attendance, venue, alcohol service, hours and known risks. For holiday parties, it should also cover coats, gifts, exits, parking and conduct expectations.

Do corporate events in Ontario need a Special Occasion Permit?

An AGCO Special Occasion Permit is required when liquor is sold or served anywhere other than a licensed establishment or a private place, such as a corporate boardroom or residence. The permit holder must provide sufficient security and remain present throughout. For an indoor private event, the AGCO guide says to apply at least 10 days ahead.

Do door staff at a corporate event need a security guard licence?

If the paid job is mainly guarding people or property, yes. Ontario’s Private Security and Investigative Services Act defines a security guard by that work and names acting as a bouncer as an example. Licensed guards must carry their licence and show it on request. Anyone hired to screen guests at the door or remove them should hold a guard licence.

How many guards should a corporate event have?

There is no universal guard-to-guest ratio for every corporate event. Coverage should reflect the event’s nature, ages, location, date, hours, attendance, drinking area, drink limits and entry and exit arrangements. The operations plan should set out duties, posts, schedules, communications and the process for escorting people out.

What should holiday-party security include?

Holiday-party security should include the guest list, entry process, guest movement, VIP areas, coat and gift arrangements, end-of-night exits and parking. Organizers should also set a communication process for emergencies and event changes. Company parties are part of the extended workplace in Ontario Human Rights Commission guidance about workplace harassment.
